Terms and Conditions of Entry for all SoS Attendees

This page contains Terms and Conditions for entry and participation at the Summer of Sonic convention, taking place on 9th August 2008. All attendees are required to read and abide by these Terms and Conditions - they are for your safety and well being, as well as to ensure the event goes with few problems. Those who have not read the Terms and Conditions will still be expected to abide by these clauses, or risk ejection from the convention and any potential future ones.

1. Entrance

1a) Upon arrival at the Covent Garden Dragon Hall Trust you will be asked by a member of Summer of Sonic Staff to supply your Username, Full name, Address, contact telephone number and e-mail address, and to agree to all rules mentioned in the Terms of Entry, which will be displayed at the event, for security and safety in the event of emergency (such as fire) and if the need arises, to contact you if you have won a competition and are not around to collect any prizes associated with it. Failure to do so will result in your entry to Summer of Sonic being denied. If you have not registered on the Summer of Sonic website, and therefore do not have a Username, you will be denied entry into Summer of Sonic.

Your details will not be used outside of Summer of Sonic other than any legal requirements or to send prizes, and will be deleted after there is no longer any need for them as a record.

1b) Before entering the hall you may be asked by either a member of Summer of Sonic Security Staff or the Covent Garden Dragon Hall’s Security team, to be searched for any hazardous or banned items from the hall. This includes, but is not limited, to alcoholic beverages, any item which could be considered a weapon or any item designed to cause disruption and/or a public nuisance. Failure to comply will result in you being denied entrance into Summer of Sonic, and in extreme cases being detained and reported to the police.

Please note that if you are female, you may request a female member of Summer of Sonic Staff to search your bag, however Covent Garden Dragon Hall’s security staff may search your bag.

1c) If you have signed in as a group (you have said you will bring family members and/or friends) you must sign in as a group that must include the person who signed up on the Summer of Sonic website (who will be referred to as the party leader from here on). If the party leader is not present at the time you attempt to sign in or the party leader signs in without you present, you will be denied access.

1d) Upon being cleared for entrance, each group will be given a goodie bag with various items in, as well as one free raffle ticket for a prize draw. Then every person will have their hand stamped, which will allow you re-entry into Summer of Sonic if you leave at some point, and will also be necessary to use any of the functions at Summer of Sonic.

1e) Please note that due to hall capacity, you may have to wait to be allowed into the hall in which Summer of Sonic is taking place. If this happens, you have not been denied entry and you will be allowed to enter when another person leaves the hall.

1f) Summer of Sonic Staff will be identifiable by the Sonic-City stamp on the back of their right hand (this differs from the SEGA stamp on visitor’s hands). A member of Summer of Sonic Staff will always be at the entrance to the hall and at a designated control area by the stage where the DJ is situated.

2. Behaviour

2a) Both when inside the hall and queuing for the event, all members are requested to act both courteously and friendly to all other guests at Summer of Sonic, especially to younger members. Any and all anti-social behaviour towards both staff and guests will be dealt with severely and may prevent you from entering the event, or you will be removed from the event and denied re-entry. This includes, but is not limited, to bullying, abusive language or gestures, and the influence of any un-prescribed drug or abuse of any kind of drug.

2b) If you are worried about the behaviour of anybody at Summer of Sonic, we advice you to contact a member of Summer of Sonic Staff immediately. We ask that you do not try to antagonise anyone’s behaviour by trying to deal with it yourself. The member of staff will contact a member of either Summer of Sonic security or the Covent Garden Dragon Hall’s Security team to deal with the situation.

2c) Please note that any notice or order given to you by Summer of Sonic Staff or the Covent Garden Dragon Hall’s Security team is non-negotiable. Summer of Sonic staff reserves the right to deny you any further access to Summer of Sonic at any time if we believe it is necessary.

3c) Please report any missing item to a member of Summer of Sonic Staff. While we can not guarantee that it will be found, we will do our best to find it. In the event that an item is found after the owner has left and has not reported it, we will be unable to return it.
